Electrical service shouldn’t start with a failure: a practical approach to electrical maintenance

Electrical service is usually purchased at one of two points:

  1. After a diagnostic produces a long list of deficiencies to address.
  2. Or, when something has failed and requires an urgent response.

The industry has increasingly emphasized preventive maintenance, which can be a difficult proposition for facility managers. Most organizations are reluctant to pay broadly for problems that haven’t happened yet, especially when the electrical system appears to be operating normally.

“Nothing has failed” doesn’t mean the system can be left alone. Like a vehicle that needs service and tune-up after a certain number of miles or a person who benefits from periodic health and blood pressure checks, electrical infrastructure has maintenance needs that develop through time, use and changing operating conditions.

Most conditions don’t necessitate a major electrical project; rather, they require specific inspection, cleaning, maintenance, documentation, and operator training that should be completed at appropriate intervals.

Other building service categories like mechanicals, elevators, and fire and life safety have established scheduled-service models built around defined tasks and expected outcomes.

Electrical service should work the same way: not as an open-ended diagnostic exercise, a laundry list of recommended repairs or an emergency response. It’s a structured approach that completes the right work, documents what was found and addressed, and provides a clearer view of what the system needs next.

The Gap Between “Everything Is Fine” and “Something Failed”: Electrical Maintenance vs Emergency Service

Most facility managers spend a great deal of time somewhere in the middle. Nothing in the electrical infrastructure has failed and there’s no obvious emergency. Production is running, tenants aren’t complaining, patients are being served, and the building appears to be operating normally.

Why Electrical Systems Change Over Time And Require Maintenance

At the same time, years of moves, adds, and changes can leave the electrical system supporting a facility that operates very differently from the one it was originally designed for.   • Diagnostic service provides a broader view of electrical assets. Infrared thermography, load monitoring and equipment assessments can identify abnormal conditions and areas that warrant attention.

Both reactive and diagnostic service are valuable. Neither on its own includes ongoing maintenance. A diagnostic report identifies areas to address and recommendations on what to address, what to build into capital budgets, and what to potentially defer.

Break-fix service has the opposite limitation. It addresses the event, and the work may remain disconnected from the condition and history of the broader electrical system. The immediate issue is resolved, while related maintenance, documentation or operating concerns remain unaddressed. Scheduled service fills the space between those two models.

What Is Scheduled Electrical Service?

Scheduled service is not the same as a broad preventative program. The word “preventive” can create resistance because it’s often interpreted as paying for every possible task before there is evidence that the work is needed. That’s not the purpose of a scheduled electrical service approach.

Scheduled service begins with defined activities that make sense for the facility, its equipment and the way it operates. The emphasis is on completing specific work at appropriate intervals and using each visit to improve the facility’s understanding of the system.

That may include:

  • An annual infrared scan under normal operating conditions
  • Scheduled cleaning of electrical equipment
  • Connection inspection
  • Tightening and torque verification
  • Inspection of buses and lugs
  • Generator electrical maintenance
  • Emergency-light testing
  • Owner training and updated maintenance documentation

The scope should not be generic. A manufacturing facility with multiple shifts, process equipment and limited shutdown windows has different needs from a commercial office, healthcare facility, campus or municipal building. The right service scope reflects those differences.

What Should a Scheduled Electrical Service Agreement Include?

A service agreement should provide more than access to labor or a recurring inspection. It should create a repeatable process with clear outputs.

  • Documented electrical system condition and findings: An annual infrared scan can help identify abnormal heat patterns associated with loose connections, overloaded components, imbalanced loads or deteriorating equipment. The value is not simply conducting the scan. It’s receiving the findings and immediately addressing what’s needed as part of your scope.
  • Defined electrical maintenance tasks: Scheduled visits should clearly outline what work will be completed rather than relying on a vague promise to inspect or maintain the system. Depending on the facility, this can include gear cleaning, connection inspection, tightening and torque verification, bus and lug inspection, generator electrical maintenance, emergency-light testing and related equipment service.
  • Electrical maintenance coordinated around operations: Electrical maintenance often requires careful shutdown and sequencing decisions. A scheduled approach allows facility managers to coordinate work around production, occupancy, patient care, public services or other operational requirements. Related activities can be grouped together rather than handled through multiple disconnected service calls.
  • Better electrical maintenance records: Maintenance records should show what was inspected, what work was completed, what deficiencies remain open and what recommendations were made. Updated equipment information, panel schedules, one-line drawings and as-built documentation can also strengthen the facility’s ability to support future work.
  • Training and knowledge transfer for facility operators: Owner or operator training can be an important part of the service relationship, particularly where lighting controls, emergency systems or other electrical equipment require ongoing interaction from facility staff.

Beyond completing defined maintenance tasks, scheduled service creates additional value over time.

How to Build A Practical Electrical Maintenance Strategy

Your electrical system is an asset that deserves service throughout its lifecycle – not starting with a failure. It also shouldn’t require facility managers to commit immediately to an expansive maintenance program built around every possible need.

There is a more practical middle ground. Start with defined work like inspecting the system under operating conditions, completing scheduled cleaning and maintenance, reviewing moves, adds, and changes, updating records, and offering operator training. Use what’s learned to determine what should happen next.

That approach gives you something concrete to purchase and something meaningful to receive. Most importantly, the electrical system receives the attention it needs without waiting for a diagnostic list to become overwhelming or for an operating issue to become an emergency.
